South African Citizenship

The Embassy offers the following assistance with the following document services to citizens and immigrants:

South African Passport

PLEASE TAKE NOTE:

  • The processing of passports is done by the Department of Home Affairs in South Africa. The Embassy only receives passport applications on behalf of the Department of Home Affairs and has no influence over the time that Home Affairs has stipulated for such applications to be processed - 3/4 months.

  • Our experience is that the process may take up to six (6) months to complete - given the fact that passports, once issued, have to be returned to the Embassy via the diplomatic pouch, which travels between South Africa and the Mission once every two (2) weeks.

The Mission receives numerous enquiries and requests from South Africans who need their passports for various urgent reasons after two (2) months or so. There is very little the Embassy can do to speed up the process. and Therefore we urge you to apply well in advance.

The following documents must be forwarded (original forms) to the Department of Home Affairs, Pretoria, via the Embassy in Jakarta:

EMERGENCY PASSPORT

Emergency Passport are issued to South Africans who have to travel urgently for reasons of

  • death
  • sickness or
  • other emergency or urgent matter

The emergency travel certificate is valid for a maximum period of 9 months but only for a single trip to South Africa. 

To apply for an Emergency Passport you must come in person and submit the following documents:

  • A duly completed passport application Form DHA-73
  • A duly completed BI-529
  • Two x BI-9 forms (for fingerprint verification)
  • Your original identity document and a copy thereof
  • If under 18 years, the prescribed consent by parents must be furnished. See requirements under Tourist passports for persons under 16
  • Written motivation for the issuing of the Emergency Travel Certificate, along with any proof of the urgency of the trip (e.g. confirmation of funeral arrangements, doctor’s letter confirming sickness, Police Report re Lost or Stolen passport, etc.)
  • A schedule of your travel arrangements
  • Proof of your South African citizenship in the form of your South African identity book, birth certificate or old passport and a copy thereof
  • Two colour photographs that comply with the Passport and ID Photograph Specifications
  • Payment of the prescribed fee, Irp 200 000

The above has to be e-mailed to the Department of Home Affairs for approval.  Time frame for approval and issuing of the Emergency Passport is 3 to 5 days. 

The applicant needs to collect the Emergency Passport in person, as a fingerprint and signature is required from the applicant, for the Emergency Passport.


ADULT PASSPORT: (valid for 10 years)

(Applicable to all applicants 16 years and older.)

  • Form BI-73 - Passport application. Must be completed and signed at the Embassy.
  • Form BI-9 - Fingerprints (Available at Embassy only)
  • Form BI-529 - Determination of citizenship. Complete all sections! Section A & B: Personal particulars of applicant; Section C & D: Parents of applicant.
  • Copy of current passport.
  • Copy of I.D. document.
  • Letter from applicant requesting a new passport (reason).
  • 3 x Passport size photographs with each application.

CHILD PASSPORT: (Issued to children under 16 years of age and valid for 5 years only.)

  • Form BI-73 - Passport application. Must be completed and signed at the Embassy. (Please take note that both parents must sign this application form!)
  • Form BI-529 - Determination of citizenship. Complete all sections! Section A & B: Child's parents; Section C & D: Child's grandparents.
  • Copy of current passport (if applicable).
  • Copy of birth certificate.
  • Copy of parents marriage certificate.
  • Copy of parents passports/I.D. documents.
  • 2 x Passport size photographs. (New born babies - the eyes must please be open!)

In the case that the applicant misplaced or has his/her passport stolen, the following additional requirements has to be submitted: (The following requirements are also applicable when applying for a temporary passport.)

  • Official Police report. The Department of Home Affairs requires a legal translation from Bahasa Indonesia to English.

It will take approximately 5-6 months to receive a passport back from South Africa.

Fees:
(a) Maxi passport (64 pages): Rupiah 475 000
(b) Child passport: Rupiah 175,000
(c) Replacement of lost/damaged/stolen passport, child passport or document for travel purposes referred to in Regulation 16 of the SA Passports and Travel Documents Regulations, 1996:

Double the current tariff for the document concerned.

(Fees are subject to change and applicants should check with the Embassy when they apply.)

Registration of Foreign Birth

The following documents must be forwarded (originals) to the Department of Home Affairs, Pretoria, via the South African Embassy: Requirements:

  • BI-24 (Only available in original format at Embassy)
  • BI-529 - Note: The person who completes BI-24 must complete BI-529 i.e. father of child completes BI-24 then father of child must complete Section A of BI-529 (personal particulars)... Mother of child Section B. Section C & D: Grandparents of child.
  • Copy of Indonesian birth certificate (legal translation into English).
  • Copy of parents ID documents/passports.
  • Copy of parents marriage certificate.
  • 4 x Passport size photographs. (With regards to new born babies - please ensure that the eyes are open!)

It is suggested that parents complete the application for a South African child passport when they hand in the forms for birth registration (both parents signatures required on passport application form). (Refer to the section that deals with passports for further information.)

Fees: None.

Processing time: To process/create an identity number will take approximately 6 - 8 weeks. The processing of the birth certificate from South Africa will take approximately 3 - 4 months.

Death of a Citizen abroad

The South African Embassy can assist a family to repatriate a deceased citizen by applying for the necessary permits on behalf of the family. The Embassy can unfortunately not be held financially responsible for this process.

Application for re-issue of a South African Identity document

The following documents must be forwarded (originals) to the Department of Home Affairs, Pretoria, via the South African Embassy. Requirements:

  • BI-10 - Re-issue of South African Identity Document. (To be completed at the South African Embassy & left and right thumb prints.)
  • BI-9 - Fingerprints - Form available at Embassy only
  • BI-529 - Determination of citizenship: Adult: Section A & B: Personal particulars of applicant; and Section C & D: Parents of applicant.
  • Copy of old I.D. document.
  • Copy of current passport.
  • 5 x Identical passport size photographs (please write name on back of photographs with a ballpoint pen).
  • Additional: To apply in married name: Copy of marriage certificate.

Fees: Re-issue of I.D. document: Rupiah 20,000.

First issue is free of charge

(Fees are subject to change and applicants should check with the Embassy when they apply.)

Note: The application for issuing of first identity documents will not be accepted at the South African Embassy, as the Department of Home Affairs does not issue/forward these identity documents abroad!

In the case that the applicant misplaced or has his/her ID document stolen, the following additional documentation has to be submitted:

  • Official Police report, legal translation from Bahasa Indonesia to English.
  • Processing time: Approximately 3 - 4 months from South Africa.

Marriage: Application for letter of no impediment

LETTER OF NO IMPEDIMENT (MARITAL STATUS FOR MARRIAGE IN INDONESIA)

South African citizens can come to the Embassy to have the following certified and authenticated, if a friend or family member  in SA, are going to do it for them :

  • a signed declaration letter (signed in front of a commissioner of oath), stipulating that you are not married, your full names, id and passport number;
  • a copy of your passport; and
  • a copy of your id

A family member or a friend (with an authorization letter from you might be able, to apply on your behalf, for it,) at the Department of Home Affairs in SA.  The fee for the letter from the Department of Home Affairs is R50.

After applying, the person should phone the Department of Home Affairs in SA and also send an e-mail to hlamarisa.msengi@dha.gov.za  and to csc@dha.gov.za to enquire re the “Letter of no impediment”.

After receipt of the “Letter of no Impediment”, the person has to go to the Department of International Relations and Cooperation, to apply for a “Certificate of Authentication”, from the Consular Services : Legalisation Section, E-mail :  legalisation@dirco.gov.za, Tel :  351-1753/1249/1232, opened from 08:30 to 12:00.   

After receipt of the “Certificate of Authentication” the person should call the Indonesian Embassy in Pretoria and make an appointment, to have the signature certified of the “Certificate of Authentication” done by the Department of International Relations and Cooperation (DIRCO), to be used in Indonesia.

Police Clearance Certificate

Conditions/Service description: This service is available to persons who mostly require confirmation on their criminal status for emigration purposes or for working abroad for long periods of time. A certificate will be issued stating whether any criminal offences are recorded against the applicant. The taking of the fingerprints will be done at the Embassy, however the analyzing thereof and the issuing of the certificate is done only by the SAPS Criminal Record Centre in Pretoria. Process:

  1. This office has to be provided with a full set of your fingerprints, taken at the Embassy. Your full name, surname, date of birth, place of birth and identity number (if available) must also be recorded on the fingerprint form.
  2. South African citizens living outside the country, may apply at any South African Embassy. Fingerprints may be taken on the official fingerprint forms of the specific country. The fingerprint form must be signed by the person who takes the fingerprints. The application must be accompanied by a copy of the applicants Identity document or Passport.
  3. The applicant must forward the documentation by courier to:

Cost: This service is rendered at R57-00 per application payable by bank guaranteed cheques or money order in favour of the National Commissioner of the South African Police Service. Applicants must arrange to collect the certificate in south Africa via courier service at their own cost. Police Clearance Certificates can be reissued. The certificate will be issued free of charge if requested within six months of the original application. After six months the cost will be R57-00. As the certificates are only kept on record for 9 months, a new application must be submitted after 9 months has lapsed.

Contact and Location: Fingerprints can be taken at any South African Police Service station (contacts) or abroad as stated in paragraph 2 of process.
Analysis and the issuing of certificates is done at the Pretoria Criminal Record Centre - Contact numbers : (012) 393 3712/3/4/5

Service Standard: The average time to render this service will take approximately twenty eight (28) working days from the day that the fingerprints are received at the Pretoria Criminal Record Centre.
